Position Summary

The Agency Coordinator – PR will perform general secretarial and administrative duties for the Executive Vice President, co-Managing Director at KemperLesnik, including handling work of a confidential nature. This person will also support the B2B, B2C and sports PR staff at KemperLesnik in many capacities.

This person will be responsible for adding to and enhancing the productivity, efficiency and effectiveness of the EVP and the staff by handling special projects, including public relations, marketing, sales support, client services and business development.

In addition, this person will share the role of office manager with an Agency Coordinator – Events. These two colleagues will be responsible for co-managing the Chicago office operation.

Essential Duties and Responsibilities

EVP Support

  • Assist the EVP in managing her schedule and calendar
  • Facilitate her productivity by:
  • Handling incoming requests
  • Preparing expense reports
  • Arranging travel
  • Anticipating EVP’s needs and respond to them
  • Communicating proactively

Office Management Support (Shared Role)

  • Handle sensitive material with complete confidentiality
  • Manage KemperLesnik website and newsletter distribution
  • Coordinate new hire candidate interviews
  • Prepare and deliver onboarding materials for new hires
  • Organize monthly agency meetings and annual agency leadership conference (“All Hands”)
  • Lead quarterly volunteerism efforts
  • Co-lead the agency’s social media and marketing initiatives
  • Ensure accuracy and completeness of statistical, financial or mathematical data on various reports
  • Ensure that supplies are stocked
  • Act as gracious host for client meetings
  • Answer main agency telephone line
  • Manage the agency’s professional development series

PR Staff Support

  • Make travel arrangements for agency staff, when needed
  • Conduct research, when needed
  • Assist in special PR projects
  • Travel to support agency’s PR operations, as needed
  • Maintain accurate and up-to-date business and personal contact information in Outlook
  • Help in writing, coordinating, and proof reading documents, such as collateral materials, sales reports, sales presentations, business plans, press releases, etc.
  • Organize and prepare materials for internal corporate and external client meetings

Education/Qualifications/Certifications

  • Bachelor’s degree
  • Experience supporting senior level managers
  • Type 65+ wpm
  • Demonstrated quality in written, verbal, interpersonal and telephone communication skills
  • Ability to analyze and solve problems
  • Ability to efficiently handle multiple duties and prioritize tasks under pressure with minimal supervision
  • Capable of handling confidential information with discretion
  • Be detail oriented with proven organizational and time management skills
  • Be a team player who puts organizational objectives ahead of personal objectives
  • Have a positive attitude, professional manner and professional appearance

Position Requirements:

  • Must be able to sit and stand for lengthy periods of time
  • Mobility is essential
  • Must read and write (English)
  • The ability to communicate verbally with staff members and/or customers is essential
  • Extensive keying and computer work is necessary
  • Perform mathematical calculations involving fractions, decimals and percentages
  • Retrieve, read and interpret information from technical sources
  • Must be able to stand, sit, walk, push, pull, lift, grasp, bend and kneel for up to five hours at a time
  • Lift up to 30 lbs. occasionally, 20 lbs. frequently, and 10 lbs. constantly

Software Knowledge Required

  • Advanced knowledge of Microsoft Office Suite, particularly including PowerPoint, Excel and Outlook
  • Intermediate knowledge of the Macintosh operating system
  • Intermediate knowledge of design programs, including InDesign and Photoshop
